Cisco SPA 300 and SPA 500 Series Phones - Manual Configuration

Any Cisco SPA 500 or SPA 300 series IP phone not purchased through Aptela was not pre-configured to work with Aptela. These phones will need to be manually configured to use Aptela phone service.

Step 1:  Enter the phone MAC ID into the user’s profile

  1. Locate the phone’s MAC ID.
    • The MAC ID is located on the back of the phone on a label with the Cisco logo and model number.
  2. Log into Aptela at my.aptela.com.
    • Users: Click Settings at the top of the page and then click the My Account tab.
    • Admins: Click People at the top of the page and then click on the name of the person you would like to assign the phone to.
  3. Within the Edit Standard User page, scroll down and click VoIP Settings to expand its content.
  4. Click Launch Phone Tool. This will open a new window.
  5. Click Configure Phone within the Phone Tool.
  6. Type the MAC ID in the MAC Address field.
  7. Click Next.
  8. Follow the instructions as indicated on the confirmation page.

Step 2:  Make note of the FTP User ID and FTP Password

  1. Log into the Aptela account as the operator to access your FTP settings:  my.aptela.com.  If you are not the operator, see them to get this info.
  2. Click Settings at the top of the page then click the About tab.
  3. Locate the FTP User ID and FTP Password.  This information is made up of a string of numbers.
  4. Make note of this information as you will need to enter it into the Cisco Setup web portal.

Step 3: Make note of the phone’s IP address

  1. On the phone, press Setup button.
  2. Scroll to Network and press select (on some phones, you may also press 9).
  3. Scroll to view Current IP. This is the IP address of your phone.
      For Cisco 301 or 501G models, use the phone’s IVR Configuration Menu:
  1. Pick up the handset and press the Setup button.
  2. Enter 110, then press #.
  3. The IP address is recited.

Step 4:  Configure the phone

  1. On your PC, open your web browser.
  2. Enter the IP address into the browser address bar and hit enter.
  3. Select Admin Login.
  4. Select Advanced.  You may be prompted for a user name and password. Enter the following:
    • Username: admin
    • Password: use the FTP Password from Step 2 above
  5. Click on the Voice tab in the top navigation bar.
  6. Then click on the Provisioning tab.
  7. Next, open up notepad, or a separate editor on your computer, then copy and paste the below key (URL) into it.  IMPORTANT: Copy the key specific to your phone model.  Do not change the key’s formatting, or add/remove any spaces/characters.

  8. For 30x and 50x models, copy this key:

    [--key FTPuserIDFTPpassword] http://provisioning.aptela.com/cisco5xx/configs/FTPuserID/cisco50x-phone-$MA.cfg

    For 52x models, copy this key:

    [--key FTPuserIDFTPpassword] http://provisioning.aptela.com/cisco5xx/configs/FTPuserID/cisco52x-phone-$MA.cfg

  9. Now edit the key with these instructions while it’s still in your editor document:
    • Enter your FTP User ID where you see the FTPuserID and enter your FTP Password where you see FTPpassword. NOTES: this information was collected in Step 2 above.  The FTP User ID is edited in two places.
    • Example for a 50x model: [--key 10001234567899] http://provisioning.aptela.com/cisco5xx/configs/10002345/cisco50x-phone-$MA.cfg 
  10. Copy the edited key from your document and paste it in Profile Rule field within the Cisco web portal Configuration Profile.
  11. At the bottom of the page, click Submit All Changes.
  12. The phone will reboot one or more times to accept the new settings and register.  Once it arrives at an idle screen, make a test inbound and outbound phone call.

To confirm the new settings are on the phone:

  1. The new extension will display on the right side of the phone's screen.
  2. For the 301 or 501G, the only indication that the phone is downloading the configuration is the lights on the phone will be blinking randomly for a while. The ready state for this phone is when the 8 lights on the top of the phone are at a steady green; at that point you should hear dialtone when you pick up the handset, and you should be able to make calls to the phone.
  3. On any model you can go to the Setup Webpage and view the Ext 1 tab – under Subscriber Information the Display Name should be the First and Last name of the user, and the User ID should be the username.account name of the user.
