Overview of Notifications

The notifications feature allows users to receive email notifications whenever a voicemail is left, a fax is sent*, a recorded call is complete**, an announcement is recorded, and when a call is received.  This is useful for those who prefer to be alerted when new messages are received.

You can choose to use a single notification type, a combintation of them, or all of them.  With each notification type, with the exception of Calls, you can have the message content sent as an attachment with the email notification.  All standard users and departments have notification options included with the extension.

*Only the Account Operator can setup and manage fax notifications
**Call Recording is a purchased, add-on feature

TYPES:
  • The Calls notification type notifies you of new calls received to the extension via email. This type is recommended for those who wish use email to manage received calls to the extension.
  • The Call Recordings notification type notifies you of new call recordings via email, and can deliver the audio of the recorded call as an email attachment.
  • The Voicemails notification type notifies you of new voicemail messages via email, and can deliver the voicemail message content as an email attachment..  This is the most commonly used notification type.
  • The Announcements notification type notifies you of new announcements via email, and can deliver the audio of the recorded announcement as an email attachment.  Announcements are created via the Aptela Voicemail System, and can only be received via message notification. 
  • The Faxes notification type notifies you of new faxes via email, and can deliver the documented fax as an email attachment.
SETTINGS:
  • Enabled – Activates notifications for the selected message type(s)
  • Include Content – Adds the message content to the email notification. Voicemails may be sent as .wav or mp3 files.
  • Mark as Read – Marks messages in your Aptela message window as read messages. This setting is recommended for users who use email to manage voicemail messages. If you select this option, the voicemail indicator light on your phone will not flash when you receive new voicemails. 
  • Target Email Address – Enter the email address where you want the messages to go.  Separate multiple email addresses with a comma.
