How to Receive Email Notifications for Calls and Announcements

Users can receive email notifications for calls and announcments.  All standard users and departments have notification options included with the extension.

The Calls notification type notifies you of new calls received to the extension via email. This type is recommended for users who wish use email to manage received calls to the extension.
  1. Log in to the Aptela account either as the User or as the Account Operator
    • Users:
      • Select Settings
      • Click on My Account
    • Account Operators: 
      • Select People from the Navigation Bar
      • Click the name for the user(s) you wish to make changes to
  2. Scroll down to Notifications section
  3. Next to Calls, check the first box (Enabled)
  4. Enter the email address where notifications should be sent in the Target Email Address field.  Separate multiple email addresses with a comma.
  5. Click Save at the bottom of the page


The Announcements notification type notifies you of new announcements via email, and can deliver the audio of the recorded announcement as an email attachment.  Announcements are created via the Aptela Voicemail System, and can only be received via message notification.
  1. Log in to the Aptela account either as the User or as the Account Operator
    • Users:
      • Select Settings
      • Click on My Account
    • Account Operators: 
      • Select People from the Navigation Bar
      • Click the name for the user(s) you wish to make changes to
  2. Scroll down to Notifications section
  3. Next to Announcements, check the first two boxes (Enabled and Include Content)
  4. Enter the email address where notifications should be sent in the Target Email Address field.  Separate multiple email addresses with a comma.
  5. Click Save at the bottom of the page





Definitions for the Notification Settings
  • Enabled – Activates notifications for the selected message type(s)
  • Include Content – Adds the message content to the email notification
  • Mark as Read – Marks messages in your Aptela message window as read messages. This setting is recommended for users who use email to manage announcement messages.
  • Target Email Address – Enter the email address where you want the messages to go.  Separate multiple email addresses with a comma.
