How to Retrieve Custom Audios you Recorded

After you record your custom audios, you will be ready to retrieve your recordings via the web portal or your voicemail notification.*  If you have not recorded your custom audios refer to How to Record your own Custom Audios.

*If you wish to retrieve your custom audio files via voicemail notification, be sure that file format is set to .wav and not MP3 before recording your audio (see "Retrieving your Audio Files via Voicemail Notifications" below for instructions on how to change the audio format).



To Retrieve your Voicemail Recordings:
  1. Log in to the Aptela account either as the User or as the Account Operator.
  2. By default, you will be on the Messages page.
  3. Account Operators: 
    • Find 'Browse Folders' located toward the bottom right of the screen.
    • Use the 'drop down' to select the user's name where you left the voicemails.
  4. You will find your new voicemails highlighted in bold (these should be the voicemails of the audio prompts).
  5. Select Voice Mail under the 'Message' column to access and listen to the audio.
  6. Right click on the link "Click here to download the message".
  7. Save the .wav file to your hard drive.
  8. Name the .wav file so you can identify it when you upload it.
  9. Repeat these steps for each audio prompt you recorded via your Aptela voicemail system.
Retrieving your Audio Files via Voicemail Notifications
If you wish to retrieve your custom audio files via voicemail notification, be sure that file format is set to .wav and not MP3 before recording your audio (see below for instructions on how to change the audio format).  If you retrieve your custom audio via this method you can disregard the above steps, and simply save the audio file to your hard drive via the email notification.  Be sure to name your file so you can identify it when you upload it.

To change the file format:
  1. Log in to the Aptela account either as the User or as the Account Operator.
    • Users:
      • Select Settings from the Navigation Bar.
      • Click on the My Account tab.
    • Account Operators: 
      • Select People from the Navigation Bar.
      • Click the name for the user you will use to record the audio .
  2. Scroll down to Call Customization.
  3. Select WAV next to 'Voicemail Notification Format'.
  4. Scroll to the bottom and click Save.
