How to Send Faxes

Sending faxes via Aptela's web portal is very useful for those who prefer not to use a fax machine or for those who do not own one.  All standard users have fax-sending capabilities included with the extension. Users do not need a dedicated fax number to send faxes via the web portal.

Note: The below instructions will vary for the user based upon the Fax Cover Sheet being enabled for the account.  When it  is enabled, the user will have additional fields to access.
  1. Log in to your Aptela user account
  2. Click Messages from the Navigation Bar
  3. Go to Messages Commands (to the right of the page)
  4. Click New Fax
  5. Enter the To Fax Number
    • If the Fax Cover Sheet is enabled, enter the:
      • From Name, Company, and Fax number (this may already be completed)
      • To Name and Company
      • Subject (this cannot exceed 60 characters)
  6. If sending a fax to a "Fax List" or contacts from your Address Book, click on "Choose."  A new "Select Fax Destinations" pop-up window will appear.
    • Click the contacts you wish to send the fax to then click "Select."  Use the "Ctrl" key to select multiple names.
  7. Enter the Text* for the cover page.
  8. Attach the document.  PDF is the recommended format; TIFF and HTML formats are also acceptable.
  9. From the "Add Attachment" pop-up window:
    • Browse for the file and click Add.  Follow this process if adding multiple attachments.
    • Use the "Move up" and "Move Down" buttons to order multiple attachments.  The attachments will be sent to the recipient beginning with the top one.
    • Click Done
  10. Click Send.  You can view the status of your sent fax by clicking your Sent Items folder under the 'Browse Folders' section (lower right).
*The "text" will appear on the Fax Cover Sheet.  If Fax Cover Sheet is not enabled, it will appear on the first page received by the recipient.  The text should be a brief message, and should not be copied from another document (except Notepad) and pasted . 



Important Notes:
  • Faxing to international numbers is not supported via this faxing method.
  • Faxing to eFax numbers:  Faxing does not work when sending faxes to most other efax accounts. This is due to many efax services not sending a fax tone upon answering.  If no fax tone is received, the Aptela fax service cannot send a fax.
  • You can Blast faxes to a group of people at once, using the contacts saved in your Address Book. You can only fax to Address Book contacts that have associated fax numbers. Directory Entries do not have a fax associated with them.  Please note that a large fax list can take a longer time to process.
  • Fax Cover Sheet:  This feature can be activated by the Account Operator only. With this feature is enabled, the information in the From section will auto populate in the New Fax. The Account Operator can click here to learn how to enable this feature.
