How to Give Users Access to Group (Department) Voicemail

Users who are part of a Group/Department can easily access voicemails for departments they are associated to by setting up their user profile to access group mailboxes when checking voicemail. This is convenient for users whose responsibility is managing department voicemails.
  1. Log in to the Aptela account either as the User or as the Account Operator
    • Users:
      • Select Settings
      • Click on My Account
    • Account Operators: 
      • Select People from the Navigation Bar
      • Click the name for the user(s) you wish to make changes to
  2. Scroll down to Call Customization section
  3. Next to Access your Group mailboxes when checking VM, click Yes to enable access.  Click No to disable access.
  4. Click Save at the bottom of the page
Note: The indicator light on Polycom phones will flash when a new department voicemail is left.  This applies only to users who are enabled to access group voicemails.
