About the different Call Tree Block options

The Main Menu specifies options and actions available to callers, who select the option or action by pressing a specified touchtone key on their phone. Actions are determined by building blocks that are chosen from a drop down list that appears when selecting the Add Block to Menu feature.

  1. Audio Block. Allows callers to hear an informational recording without the need to speak with a person directly. For example, you may include menu specials, your company address, directions to your office, hours of operation, or company contact information.
  2. Conference Block. This block is used with the Aptela Conferencing service to allow callers to join a hosted conference bridge. This block option is available to accounts with the Aptela Conferencing feature enabled.
  3. Data Capture Block. Captures information and e-mails an advisory to selected individual(s).
  4. Directory Block. Enables callers to dial by extension or do a look up by name. You can have multiple Directory blocks if you want callers to have multiple look up options (e.g. by First and Last Name).
  5. Document Block. This is a combination block for the Record & Fax-back blocks.
  6. FAQ Block. Provides a list of frequently asked questions and answers.
  7. Fax-back Block. Allows callers to receive a document via fax without the requirement of speaking with a representative.  This could be a press release, directions to your office, or any information your company wishes to send.
  8. Menu Block. Allows you to build sub-menu options and enables callers to access those additional options. For example, after the caller presses 5 for Billing, he will have the option to choose the appropriate department to transfer to: Accounts Receivable or Accounts Payable. After adding the Menu Block, you will be able to build additional sub-menu options.
  9. Record Block. This block is useful when you want to route callers directly to user or department’s voicemail box from the Call Tree menu rather than transfer them. This block is extremely useful for customers using an Off Hours Call Tree or for any menu option where you want to have callers leave a “general” voicemail.
  10. Transfer Call Block. Routes callers directly to an extension and is the most commonly used block type. When inserted into a Main Menu, it plays a prompt, e.g. “Press 1 for Sales,” and when Option 1 is chosen, the caller is transferred to the extension.
