How to Record your own Custom Audios

Once you have written the script for your custom audio (e.g. Call Tree, Custom Transfer Message), you are ready to record the audio(s). All audio uploaded to the Aptela system must be in recorded in a supported format.  Click here for a list of supported audio formats.  If you are recording custom audio for your Call Tree, be sure to read the "Helpful Tips" before recording your audio. 

Advanced users:
If you wish to retrieve your custom audio files via voicemail notification, be sure that file format is set to .wav and not MP3 before recording your audio.  Click here and scroll down to "Retrieving your Audio Files via Voicemail Notifications" for instructions on how to change the audio format.



Recording Your Audio
The easiest way to record audios for your Aptela system is via your Aptela voicemail box:
  1. Dial your Aptela main phone number from any phone.
  2. Enter your extension number and remain on the line until you are prompted to leave a voicemail message.  To bypass the hold time, press # to go directly to voicemail.
  3. Leave the voicemail message with the audio you need to record when prompted. After you've recorded the audio, wait 1 second before disconnecting the call.


Helpful Tips for Call Tree Management

  • Record your audio before you make changes to your Call Tree.
  • Leave a 2 second pause at the beginning of your main Greeting. This decreases the chances of clipping off the beginning of the Greeting on some inbound calls.
  • If you are recording the Greeting and Call Tree prompts, we recommend that you record each audio prompt separately. A quick way to jump to the next voicemail is to press 0 after you record each audio (voicemail message). Doing so will direct you to the Main Menu of your Call Tree, from which you will follow steps 2 and 3 above.
Sample Script and Recommended Workflow   
The first voicemail message should be your Greeting:
Thank you for calling ABC Company
The second voicemail message would be a Call Tree prompt:  
Press 1 to dial by Extension
The third voicemail message would be a Call Tree prompt:
Press 2 for Customer Service

Any additional voicemail messages (audio prompts) should also consist of a single Call Tree prompt. Once you've recorded the audio, you will then need to download your audio files.
