How to Check Faxes via Aptela

Users can check faxes within the Aptela Web or via email notification. Please note that users can only receive faxes to their direct extension if a dedicated fax number is assigned to their extension.

From the Web Portal:
  1. Log in to Aptela either as the User or as the Account Operator
  2. Click Messages from the Navigation Bar
    • Account Operators:
      • Find Browse Folders (to the right)
      • From the pick list, choose a user name to view faxes for that individual. Choose the company name if you wish to view faxes sent to your company's primary fax number
  3. Click on the Faxes you wish to view
    • Tip: Use the Faxes tab near the top of the page to narrow your search results to faxes only
  4. Next to Document, click "Click here to view document 1"
Important Notes About Accessing Company Call Records:
  • Users can access faxes sent to the main fax number by choosing the company name from the pick list under Browse Folders (lower right). Permission to access the company call records is set by the Account Operator.
  • Users can access faxes for a department to which they belong by choosing the department name from the pick list under Browse Folders (lower right).  Permission to access additional call records is set by the Account Operator.

From Email
Fax-to-Email integration is one of the most convenient ways to manage your fax messages. Click here for instructions to setup your user profile to receive faxes via email. Note: Only the Account Operator can setup or modify fax notification settings.

    • Simply receive the email within your email client (e.g. Outlook, Thunderbird, gmail, Mac Mail, etc.) and open the attached pdf.
