Calling in to a Conference Bridge via the Phone

Customers who have Aptela Conference Feature can host a conference bridge in several ways via the phone or web portal.  Calling in to the bridge is the most common way participants access the conference bridge.

Account users can call in via their SIP (desk) phone or an outside line via the Aptela System Voicemail Menu Options*.  Users not part of the Aptela account will access the bridge by dialing your Aptela assigned phone number and selecting the appropriate menu options, using the required credentials as provided by the conference organizer.

*Account users dialing in via the SIP phone must never call in to a bridge by dialing the Aptela assigned phone number and selecting the menu option from the call tree.  Doing so will prohibit the user from accessing the intended conference.



Aptela users calling in via your SIP (desk) phone
IMPORTANT: Account users who call in to the bridge via their SIP phone must access the bridge via the Aptela System Voicemail Menu Options and not by dialing the assigned Aptela number.  Doing so will prohibit the user from accessing the intended conference.
  1. Press the Messages button or *8 and select “Connect”
  2. Press 5 to access conferencing
    • Press 1 if you know the extension number of the conference, or
    • Press 2 to hear a list of available conferences.  The list will play the department name followed by the extension number.  The departments listed will only be departments you are a member of.
  3. After entering the conference (department) extension number, you will be presented with additional options:
    • Press 1 to enter the conference
    • Press 2 to invite other members of the department.  This option will call all “Inactive” and “Active” users of the department.
    • Press 3 to invite other users by extension number, by name, or by a 10-digit phone number:
      • Press 1 to invite a user by extension
      • Press 2 to invite a user by last name
      • Press 3 to invite a participant by phone number
Note: users calling in via their SIP phone will not be prompted to enter the Conference PIN number even if it marked as required



Aptela users calling in via an outside line (not using a SIP phone
)
Aptela users calling in via an outside line can access the bridge via the Aptela System Voicemail Menu options or by dialing the account phone number and selecting the "conference" call tree menu option (see "Participants not part of the Aptela account" section below).

To access the bridge via the Aptela System Voicemail Menu options:
  1. Dial your Aptela assigned number from a non-SIP phone
  2. Press * when you hear the greeting or audio
  3. Enter your extension
  4. Enter your PIN (if prompted)
  5. Press 5 to access conferencing
  6. See above instructions under "Calling in via your SIP (desk) phone" section for ongoing options



Participants not part of the Aptela account
In order for callers not part of the Aptela account to access the bridge, they must:
  1. Dial the company's main phone number
  2. Select the "conference" menu option on the call tree
  3. Entering the access information, if required.  Note: Organizers must provide any required access information to each participant.
