How to Check Department (Group) Voicemails

Voicemail messages can be accessed via the phone, the Aptela web portal, or via email notification. All standard users and departments have voicemail included with the extension.

Users who are part of a Group/Department can easily access voicemails for that department if the profile is setup to "Access your Group mailboxes when checking VM". 

Via Phone: Users who are setup to access Group voicemail

  • From your SIP (desk) Phone
    1. Press the Messages button then "Connect" or dial *8 (note: the phone must be configured for Voicemail access)
    2. Enter your extension and/or PIN (if prompted)
    3. Press 2 to access the Group's voicemail
    4. Enter the Group's extension number
    5. Press 1 to confirm the Group name
    6. After listening to each voicemail message, you may:
      • Press 5 to return the call
      • Press 6 to replay the message
      • Press 7 to delete the message
      • Press 8 to forward the message
      • Press 9 to save the message
    7. Note: Press # to skip to the next message
  • From any phone:
    1. Dial your Aptela number
    2. Press * when you hear the greeting or audio
    3. Enter your extension and/or PIN (if prompted)
    4. Press 2 to access the Group's voicemail
    5. Enter the Group's extension number
    6. Press 1 to confirm the Group name
    7. After listening to each voicemail message, you may:
      • Press 5 to return the call
      • Press 6 to replay the message
      • Press 7 to delete the message
      • Press 8 to forward the message
      • Press 9 to save the message
    8. Note: Press # to skip to the next message

Via Phone: Users who are NOT setup to access Group voicemail
  • From any phone:
    1. Dial your Aptela number
    2. Press * when you hear the greeting or audio
    3. Enter the extension and/or PIN for the Department (if prompted)
    4. Press 1 to access voicemail
    5. After listening to each voicemail message, you may:
      • Press 5 to return the call
      • Press 6 to replay the message
      • Press 7 to delete the message
      • Press 8 to forward the message
      • Press 9 to save the message
    6. Note: Press # to skip to the next message


Via the Web Portal:
    1. Log in to the Aptela user account
    2. Click Messages on the Navigation Bar
    3. Go to Browse Folders (lower right)
    4. Select from the drop down the Department for which you wish to check voicemail messages
    5. Click on the Voicemail you wish to listen to
    6. Tip: Use the Voicemail tab near the top of the page to narrow your search results to voicemails only

Note
: the Account Operator or Department Manager manages voicemail to email settings for departments.

    • Simply receive the email within your email client (e.g. Outlook, Thunderbird, gmail, Mac Mail, etc.) and open the attached audio file to listen to the message.
