How to Delete a User

The Account Operator has the ability to add, modify and remove users. Some reasons you may delete a user are: the extension is no longer needed, the employee is no longer with the company, the user ID needs changed.  Be sure to refer to the "Important Notes" below before deleting the user.
  1. Log in to the Aptela account as the Account Operator
  2. Select People from the Navigation Bar
  3. Place your cursor over the user(s) you wish to delete and you will see a box appear
  4. Within the box, click on the trashcan icon (all the way to the right) then confirm the deletion by selecting "OK" from the pop-up warning box.
  5. The user and extension will be removed from the account.
 



Important Notes:

  • When deleting users, all voicemails and call history will be deleted as well.  If you need to preserve any of the voicemails, you will need to download them to your hard drive before deleting the user.
  • Once the user is deleted, he/she will no longer be able to receive calls.  Any SIP phones associated with that user would need to be configured to a new user account in order to reuse the phone.  For phone configuration instructions, click here.
  • If the user is part of any call tree options on your Business and/or Off Hours call tree, you will get a warning indicating the user cannot be deleted (see below example screen shot).  To delete the user, you will need to either reassign the call tree option to point to another extension or delete the call tree option entirely (see below section).
Below is an example of the error message you will receive when attempting to delete a user associated to a call tree option.




How to Reassign or Delete a Call Tree Option
In order to delete a user that is associated to any call tree options on your Business and/or Off Hours call tree, you will need to either reassign the call tree option to point to another extension or delete the call tree option entirely.
  1. Logged in as the Account Operator, select Call Tree from the Navigation Bar
  2. Click on Main Menu
  3. Scroll down to the Menu Block Items section
  4. To reassign the call tree prompt(s):
    • Select the "Block Name" for the option you wish to reassign
    • From the "Transfer to" pick list, choose the new extension you wish to route calls to
    • Repeat this for each Call Tree option you need to reassign
  5. To delete the call tree prompt(s):
    • Check the box for each prompt you wish to delete
    • Click on "Delete Selected Blocks"
  6. Click on Save
  7. After saving all modifications, click on Publish (located near the bottom left of the page)
  • Note: If your Off Hours Call Tree is utilized, use the above instructions to make the necessary modifications on it.
