How to Setup/Change your Name Prompt & Voicemail Greeting

So callers may know who they are contacting, it is important that each user sets up a unique Name and Voicemail prompt.  It is also important that unique prompts be recorded for each department. All standard users and departments have voicemail included with the extension.

  • Name Prompt
    • Allows a caller to find you in the directory when dialing you by name from the Call Tree.
    • Informs a caller as to whom they are being transferred (if using ## menu).
    • If the Name Prompt is not recorded, a caller will hear the extension number only (e.g. 224) and will not be able to identify if they are calling or being transferred to the correct person.
    • Note: By default, when you create a new user or department, the name prompt will be the extension number. If you do record a name prompt, you can switch between the  name and extension number at any time by changing your directory entry setting under Call Customization - "Use Extension Number as Name Prompt" (yes/no).
  • Voicemail greeting
    • This is the message callers will hear if the call is not answered.
    • You can easily change your greeting to be specific about office hours, availability, travel plans or when callers can expect a return call.
    • Notes:
      • This greeting plays only if using the Aptela Voicemail System.
      • Callers can escape voicemail by pressing 0 (zero).  The caller will be routed to the Call Tree.  If you would like to offer this option to your callers, be sure to inform them to press 0 in your voicemail prompt.



To Record your Name and Voicemail prompt:
  • From your SIP (desk) phone
    1. Press the Messages button then "Connect" or dial *8 (note: the phone must be configured for Voicemail access)
    2. Enter the extension and/or PIN (if prompted)
    3. Press 0 to setup voicemail
    4. Press 1 to record your name
    5. Press 2 to record your prompt (voicemail greeting)
    6. Record your name or voicemail greeting when prompted and press # upon completion
    7. Review your recording
    8. Press 1 to save
  • From any phone
    1. Dial your Aptela number
    2. Press * when you hear the greeting or audio
    3. Enter the extension and/or PIN (if prompted)
    4. Press 0 to setup voicemail
    5. Press 1 to record your name
    6. Press 2 to record your prompt (voicemail greeting)
    7. Record your name or voicemail greeting when prompted and press # upon completion
    8. Review your recording
    9. Press 1 to save

Tip: You can save multiple greetings in your Media Library. Then depending on your needs, you can quickly change your greeting without having to re-record it each time.

Your Media Library can be found by logging into your Aptela account as a user or as operator, and selecting Settings then scrolling down to Additional Settings. It is under that section that you will find the option Edit Media Library.
