What are the different user types?

There are four types of 'users' as defined by the Aptela system. Users include Departments, Employees, Power Users and the Operator.

Power user

The Power User is the standard extension type on the Aptela system. It provides for all the Aptela user features including inbound and outbound calling, voicemail, Find Me, call privacy, and message log.

Operator

The system administrator for your company's Aptela account is called the Operator. The Operator (account) has additional privileges and responsibilities within the Aptela system. Specific functions that the Operator fulfills include:

  • Setting up new user accounts
  • Setting up a call trees
  • Editing Power User profile (user's have some of these privileges as well)

The operator account is a free administrative account. It is not intended to be used as a 'receptionist' or other person's account. If this account is utilized as a regular user account, you will be billed the appropriate amount.

Department

Departments are groups of users that you can route calls to in a variety of ways. Departments can also be made into Queue departments that provide basic call center functionality with the purchase of Aptela's Queues service.

Departments are useful for creating Hunt or Ring Groups of extensions so your calls can be answered as quickly as possible by a defined set of people. Departments also have managers that can manage the department settings without being logged in as the operator.

Departments are an add-on feature of the Aptela account. Your account is charged for every new Department created in the Aptela system. For cost information contact your Aptela Sales representative.

Employee

The Employee User is used for routing to a phone number only such as a mobile phone. It does not have a log in to the Aptela Web Interface, voicemail features, Find Me, or outbound calling features.

It should be noted that an Employee User is not recommended to be used in a department. This is due to Employee Users not having a Ring Amount and therefore calls will never cycle past this user to the next user in the department or go to the department voicemail.
