Calling Guide (dialing, transfers, accessing voicemail)

Outbound Dialing

(area code) - xxx - xxxx
Example: 703 - 386 - 1500

011 - country code - city code - number
Example: 011 - 55 - 21 - 781 - 0001

Note: you do not need to dial 9 for an outside number or 1 for long distance calls.


Extension Dialing

*7+ extension - Calls user's Find-Me list and will route according to the rules there.
*1+ extension - Intercom (must be on Polycom phones with 2.1.1 firmware or higher).
*5+ extension - Similar to *7+ but connects only to deskphone. Bypasses user's Find-Me list profile and will not go to voicemail or route to other phones in find-me list.

Accessing Voicemail

  • From the office: Press Messages button then Connect on the Polycom phone, or dial *8 then initiate the call.
  • Remotely: Dial you main number and press * when the call tree plays.
  • Enter your Extension and PIN (Trust for Voicemail settings may bypass this).
  • Select Option 1 to listen to voicemail
  • Select Option 0 to voicemail options
1 - record name prompt
2 - record voicemail message
3 - change PIN


Transfer Call

Via any phone:
Press ## for the full transfer menu; the caller is automatically put on hold.

Options to choose from:
1 - Resume your conversation
2 - Transfer to voice mail
3 - Transfer to another extension
4 - Transfer by last name
5 - Transfer to another phone number
6 - Transfer to the main menu
7 - Enable call recording (if active)


Using the Transfer Key on the Phone

Warm Transfer (Inbound Calls Only)
  • While on a call, press the Transfer Key
  • Dial 7+Extension, or a full 10-digit phone number
  • Stay on the line until the party (or voicemail) answers, confer with the party and press the transfer key to complete the transfer.
Blind Transfer
  • While on a call, press the Transfer Key
  • Press the Blind Softkey
  • Dial 7+Extension, or a full 10-digit phone number
  • Press the Send Softkey


Conference (3-way) Calling via Polycom

While on call, press the conference button, dial another number or extension (*7+ext), then press the conference button again. To end conference call, hang up phone or press Split to continue with one of the two parties.
