How do I set up my Voicemail and Name Greeting?

Setting up your voicemail greeting and name prompt.

Name Prompt

The name prompt recording will be used:

  • When outside callers search for you in the company telephone Directory (i.e., dial by name or dial by extension).
  • When other users of the system use the Caller ID function to screen calls.

By default, when you create a new user or department, the name prompt will be the extension. If you do record your name prompt, you can at any time switch between your name and your extension by changing your directory entry under Call Customization - Use Extension Number as Name Prompt (yes/no).

To Record your name prompt:

  • Press the Messages button from your Polycom or from any other phone, dial your Aptela phone number and press star (*)
  • Enter your extension and PIN
  • Select '0' to set up or change voice mail features.
  • Select '1' to record your name
  • At the prompt, record your name as you would like it to sound in the company telephone directory

** If you do not record your name the system will use a default recording ("unknown"). For group voice mail accounts, record the name of the group.**

Voicemail greeting

  • From any phone, dial your Aptela phone number and press star (*)
  • Enter your extension and PIN
  • Select '0' to set up or change voice mail features
  • Select '2' to record your voicemail.
At the prompt, record your greeting as you would like it to sound when people call you and reach your voicemail. Press # after you complete the recording. The system will then prompt you to listen to the recorded message. Press 1 to accept.

You can easily change your greeting to be specific about office hours, availability, travel plans or when callers can expect a return call.

Tip: You can save multiple greetings in your Media Library. Then depending on your needs, you can quickly change your greeting without having to re-record it each time.

Your Media Library can be found by logging into your Aptela account as a user or as operator, and selecting Settings then scrolling down to Other Settings. It is under that section that you will find the option Edit Media Library.
